Create an invoice

Filter, select, and group hours, then prepare them as a draft invoice.

This is the day-to-day TimeToBill workflow: fetch entries, choose lines, check them, and prepare a draft invoice.

Step 1 - Choose the period

Start by choosing the period you want to invoice. Available options include this month, last month, and a custom date range.

Then fetch entries from your connected time tracker.

Step 2 - Filter and select

Use filters to show only the entries you need. You can filter by period, client, project, or status.

Then select the hours that should be included on the invoice.

Step 3 - Group the lines

Choose how TimeToBill should combine the selected entries. You can group by project, date, or description.

Check whether the invoice lines match the way you invoice. You can still edit lines before creating the invoice.

Step 4 - Check description, quantity, and rate

Check each line:

  • description;
  • hours or quantity;
  • rate;
  • VAT setting;
  • total.

If a rate is missing or incorrect, edit it directly on the line. That change only applies to this invoice.

Step 5 - Create the draft invoice

Continue only when the lines are correct. TimeToBill then creates a draft invoice in your invoicing software.

Check the draft there once more before sending it.

Billed entries

TimeToBill stores your settings and billing status in a local file on your computer. That file is called a TimeToBill file, or .ttb file.

After creating the invoice, TimeToBill stores which entries have been used in that file.

If tag write-back is enabled, TimeToBill can also add a tag in your time tracker.

Recreate a draft invoice

Delete the draft invoice in your invoicing software when the lines or amounts are wrong. Then adjust the selection or settings in TimeToBill and create the draft again.
